1. Who We Are
Oakmere Facilities Management is a commercial security and facilities management company based in Warrington, Cheshire. We provide intruder alarm installation and servicing, CCTV systems, access control, fire safety, PAT testing, carbon monoxide and flood detection, commercial cleaning, pest control, and nurse call systems to businesses across Cheshire and the North West. 2. What Data We Collect
We may collect the following personal data: contact details (name, email address, telephone number, business address); details of your premises and the services you enquire about or purchase; CCTV footage captured by systems we install and maintain on your behalf; records of service visits, maintenance schedules and compliance testing; payment and billing information; and communications you send to us by phone, email, WhatsApp or via our website contact form.
3. How We Use Your Data
We use your personal data to: respond to enquiries and provide quotations; deliver, install and maintain security and facilities management services; carry out scheduled testing, servicing and compliance visits; issue invoices and process payments; send service reminders and maintenance notifications; comply with legal and regulatory obligations (including fire safety and health and safety legislation); and improve our services and website.
4. Legal Basis for Processing
We process your data on the following legal bases: performance of a contract (to deliver the services you have engaged us for); legitimate interests (to manage our business operations, maintain client relationships and ensure the safety and security of your premises); legal obligation (to comply with applicable laws including fire safety, health and safety and data protection legislation); and consent (where you have explicitly agreed to receive marketing communications from us).
5. CCTV Data
Where we install and maintain CCTV systems on your premises, you (the client) are the data controller for footage captured by those systems. We act as a data processor on your behalf. We will only access recorded footage for the purposes of system maintenance, fault diagnosis or at your explicit request. We do not retain copies of CCTV footage beyond what is necessary to fulfil our contractual obligations. You are responsible for ensuring your CCTV system is operated in compliance with UK GDPR, including displaying appropriate signage.
6. Data Retention
We retain client contact and service records for up to 6 years following the end of our contractual relationship, in line with standard commercial and legal requirements. Enquiry data from individuals who do not become clients is retained for up to 12 months. Financial and invoicing records are retained for 7 years in accordance with HMRC requirements. We will securely delete or anonymise your data when it is no longer required.
7. Sharing Your Data
We do not sell your personal data to third parties. We may share your data with: trusted subcontractors and engineers who assist in delivering our services (bound by confidentiality obligations); our software and IT service providers (acting as data processors under appropriate agreements); regulatory bodies or law enforcement where required by law; and professional advisers such as accountants or solicitors where necessary.
